Your tasks
- Position: Admin & MarCom Assistant (UAE Nationals) Female candidates are encouraged to apply Territory: UAE (Dubai or Abu Dhabi) Key responsibilities, but not limited to: Reception
- Answer general phone inquiries using a professional and courteous manner. Core hours from 9am to 5pm;
- Direct phone inquiries to the appropriate staff members;
- Reply to general information requests with the accurate information;
- Greet clients/ suppliers/ visitors to the organization in a professional and friendly manner. Office Administration
- Sort incoming mail, and courier deliveries for distribution;
- Purchase, receive and store office supplies. Verify receipt of supplies;
- Maintain electronic and hard copy filing system;
- Coordinate office maintenance work, when required;
- Maintain telephone directory of employees;
- Book hotel reservations for R&S colleagues;
- Apply for UAE tourists visa through travel agencies for R&S colleagues;
- Review mobile phone bills of employees and provide corresponding report to HR/Finance;
- Procure business cards for eligible staff;
- Make travel, meeting and other arrangements for employees;
- Provide secretarial support to Management. MarCom Administration
- Dispatch C4C + sales.mea leads to the sales team in a timely manner and ensure that sales are actioning the C4C leads on-time by sending monthly reminders;
- Assist to execute the MEA Marcom plan from event preparation, coordination, administration, logistics to on-site support:
- Organize marketing material in the office (brochures, promotion items, etc.)
- Create and maintain the media and publication directory
- Hotel negotiation (venue + lodging)
- Preparation of promotional items
- Building-up or dismantling coordination
- Welcoming and hosting
- Invoices administration
- Preparation of minutes of meeting.
